Protecting Your Privacy

Médecins Sans Frontières Australia respects an individual’s right to control how information held on their behalf is used. The integrity of personal information is important to us and we are fully committed to protecting each individual’s right to privacy.

The only information collected from visitors to our website is that which is provided to us on a voluntary basis.

We only use cookies to collect non-identifying statistical information on how many people visit our website, what country/city/region they are from and which browser/operating system they are using. We do not trade, sell or rent any information captured or voluntarily submitted on this website.

Definition
Personal Information is defined as information about an individual, whether fact or opinion, by which that individual can be ascertained. The Privacy Act, as it applies to the private sector, commenced on 21 December 2001.

Application :: Collection of information
Médecins Sans Frontières Australia will only collect personal information that is necessary for one or more of its functions or activities and only by lawful and fair means. Where it is practicable and reasonable to do so, it will only collect information about an individual from that individual. All information held may be accessed by that individual upon request.

Donors
The following information is collected on our donors:
Contact details
Credit card or bank account details
Donation history (including bequest intentions)
Confidential questionnaire responses

This information is used to:
Process donations
Issue tax deductible receipts (under the Income Tax Assessment Act 1997)
Comply with internal audit procedures
Mailing-out of Médecins Sans Frontières Australia newsletter and appeal
Occasional mail-outs of emergency appeals

Field staff
The following information is collected on our applicants for field work:
Contact details
Bank account details
Curriculum vitae, birth certificates, professional qualifications, references, police reports, health reports, passport details
Relatives/friends contact details
Files notes where appropriate

This information is used to:
Enable the recruitment process
Mailing-out of the Médecins Sans Frontières Australia newsletter and appeal
Contact relatives/friends in the case of a health/security incident in the field

Members of Médecins Sans Frontières Australia
The following information is collected on our members:
Contact details
Credit card/bank account details
Membership fee history

This information is used to:
Maintain Membership Register
Issue receipts
Comply with internal audit procedures
Member/bank queries
Mailing-out of Médecins Sans Frontières Australia newsletter and appeal

Use and disclosure
Médecins Sans Frontières Australia will not use or disclose personal information about an individual for a purpose other than the primary purpose of collection.

Data quality
Médecins Sans Frontières Australia will take reasonable steps to make sure that the personal information it collects, uses or discloses is accurate, complete and up-to-date.

Data security
Médecins Sans Frontières Australia will take reasonable steps to protect the personal information it holds from misuse, loss and unauthorised access, modification or disclosure. Reasonable steps to destroy or permanently de-identify personal information that is no longer needed for any purpose for which the information may be used or disclosed under National Privacy Principle 2 will also be taken.

Openness
Médecins Sans Frontières Australia has set out a document ('Attachment 1') clearly expressing it’s policies on management of personal information. This document is available to anyone who asks for it. Upon request by a person, Médecins Sans Frontières Australia will take reasonable steps to let the person know, generally, what sort of information it holds, for what purposes, and how it collects, holds, uses and discloses that information.

Access and correction
Where Médecins Sans Frontières Australia holds personal information about an individual, it will take reasonable steps to provide the individual with access to the information within 14 days of the request.

If an individual establishes that Médecins Sans Frontières Australia holds personal information about that individual and the individual is able to establish that the information is not accurate, complete and up-to-date, then Médecins Sans Frontières Australia will take reasonable steps to correct the information so that it is accurate, complete and up-to-date.

If agreement cannot be made by the individual and Médecins Sans Frontières Australia on whether the information is accurate, complete and up-to-date then Médecins Sans Frontières Australia will take reasonable steps to associate with the information a statement claiming that the information is not accurate, complete and up-to-date.

Médecins Sans Frontières Australia will provide reasons for denial of access or a refusal to correct personal information.

All requests/complaints are to be handled by the appointed Privacy Officer for Médecins Sans Frontières Australia.

Identifiers
Médecins Sans Frontières Australia will not adopt as it’s own identifier of an individual any Commonwealth government identifier or that of any Commonwealth government agencies.

Anonymity
Wherever it is lawful and practicable, individuals will have the option of not identifying themselves when entering transactions with Médecins Sans Frontières Australia.

Transborder data flows
Médecins Sans Frontières Australia will only transfer personal information about an individual to someone who is in a foreign country if:

the transfer is necessary for the performance of a contract between the individual and Médecins Sans Frontières Australia; or

the transfer is necessary for the performance of a contract between the individual and the organisation, or for the implementation of pre-contractual measures taken in response to the individual’s request. An example of this would be recruitment procedures for field staff; or

the transfer is necessary for the conclusion or performance of a contract concluded in the interest of the individual between the organisation and a third party; or

Médecins Sans Frontières Australia reasonably believes that the recipient of the information is subject to a law, binding scheme or contract which effectively upholds principles for fair handling of the information that are substantially similar to the National Privacy Principles; or

Médecins Sans Frontières Australia has taken reasonable steps to ensure that the information which it has transferred will not be held, used or disclosed by the recipient of the information inconsistently with the National Privacy Principles; or

The individual consents to the transfer; or

All of the following apply:
(i) the transfer is for the benefit of the individual;
(ii) it is impracticable to obtain the consent of the individual to that transfer;
(iii) if it were practicable to obtain such consent, the individual would be likely to give it.

Please note that Médecins Sans Frontières is an international organisation working in 85 countries. Médecins Sans Frontières is made-up of 5 operational sections (Europe-based), 13 partner sections and 1 international office (Brussels). In the course of recruitment procedures for field staff personal information is transferred between Médecins Sans Frontières Australia and the operational sections/field operations as well as embassies etc to further facilitate the recruitment process.

Sensitive information
Médecins Sans Frontières Australia will not collect sensitive information about an individual unless the individual has consented, or:
(i) the information relates solely to the members of Médecins Sans Frontières or to individuals who have regular contact with it in connection with it’s activities; and
(ii) at or before the time of collecting the information Médecins Sans Frontières Australia undertakes to the individual whom the information concerns that Médecins Sans Frontières Australia will not disclose the information without the individual’s consent.
